Zextiria Rooms is run by Zextiria AI LLP, a limited liability partnership based in Gwalior, India, which is responsible for your personal data under this policy. It also covers our company site, www.zextiriaai.com. Contact us, or our grievance officer, at contact@zextiriaai.com.

• Your account: email address, name, and how you sign in. Guests who join by link get a temporary account with the name they give.
• What you put in rooms: messages, documents and their history, files and images, agents' suggestions, and who approved what.
• Calls: audio and video pass through our call provider while the call is live. A call is recorded and transcribed only when the host chooses to.
• Usage and billing: which agents ran, how many credits they used, call minutes, your plan and payment status. We don't receive card or UPI details.
• Technical data: server logs with IP addresses and errors, kept to run and secure the service.
• Site analytics: which pages are visited, the site that sent you, your device and browser type, approximate location, and a few product steps (signing up, creating a room, accepting an invite, starting checkout). Room and invite links are stripped before anything is sent, and nothing you write in a room is included.

To run Zextiria Rooms for you and the people in your rooms: showing rooms to their members, running the agents you ask for, hosting calls, turning recorded calls into suggested changes, billing, keeping the service secure, and answering you when you write to us.

We don't sell your data, don't show ads, and don't use your content to train AI models. We use Google Analytics to count visits and see which pages and features are used, so we can tell what to improve. There are no advertising trackers.

When you ask a hosted agent to do something, the room's recent conversation and the documents it needs are sent to the AI model provider for that request. When a recorded call is read, its transcript is sent the same way. We use the providers' business APIs, whose terms don't allow them to train on this data by default. Your own agent connected over MCP is governed by your agreement with its provider.

Only these service providers, and only to run the service:

• Supabase — database, sign-in and file storage
• Render — our application servers
• OpenAI — hosted agents, and reading call transcripts
• Daily — video calls, recording and transcription
• Amazon Web Services — storage for call recordings
• Dodo Payments — payments, tax and invoices, as merchant of record
• Google — site analytics (Google Analytics)
• Sentry — error reports, so we can fix what breaks

Other people see what you share in a room they're in. We'll disclose data if the law requires it.

These providers store and process data outside India, including in South Korea and the United States. We use them under contracts that require them to protect it.

While your account is open. You can delete your account from Settings at any time. That deletes your account, the rooms you own and everything in them, and your seats in other people's rooms. Messages you posted in rooms someone else owns stay there for the people who remain, no longer linked to you. Billing records are kept as long as tax law requires.

You can ask to see, correct or delete your personal data, withdraw consent, or raise a grievance, by writing to contact@zextiriaai.com. We'll reply within 30 days. If you're in India, you can also complain to the Data Protection Board of India.

We store your sign-in session in your browser so you stay signed in, and a few settings like which view you last had open. Google Analytics sets its own cookies to tell one visit from another. If you're in the European Economic Area, the UK or Switzerland, it runs without cookies. No advertising cookies. You can block analytics with your browser's privacy settings or a content blocker, and the site works the same.

Zextiria Rooms is not for anyone under 18, and we don't knowingly collect their data.

If we change this policy in a way that matters, we'll email account holders before it applies. The date at the top of this page is when it last changed.
